We are looking for an experienced Executive Assistant to support our content team in Amsterdam. In this role, you will support multiple leaders in a flexible way by providing support to other members of the team at times of need or covering the holidays of other assistants in the department. . The successful candidate will be self-motivated, proactive, quick-witted, flexible and able to juggle multiple and diverse responsibilities. They will need to emphasize organization and unwavering attention to detail at all times, as well as interest and fun in planning team activities and events. This demanding and evolving position requires a person capable of demonstrating good judgment and a strong sense of initiative.

Manage complex and large calendars, including scheduling, internal and external, with multiple sessions across multiple time zones.
Contracts with partners who work on the organization’s strategy. Manage a large volume of internal and external communication, demonstrating a high level of professionalism.
Provide support and coordination for projects and initiatives. Contribute to the communication and effective functioning of the group by organizing individual interviews, group meetings and creating group time.
Administrative duties include the preparation of travel reports and budgets, record management, etc.
Coordinate domestic and international travel arrangements, including passport renewal and visa processing. Attend and take notes during meetings and share important information with all members.
Collaborate with managers and coordinators within the broader content group and across different functions (e.g. physical production, production, marketing, finance and other internal partners, etc.)
Coordinate with on-site teams working across the board from hotels and vendors for accommodation, food, airline, AV and travel. Collect and synthesize the research of creative leaders
Assist in recruiting new hires for this team.
Support team leaders with ad-hoc tasks including team work and events, presentation preparation, presentation graphics, brochures, etc. Organize talent/launch grants and events.
Skills And Experience:
4+ years as an assistant supporting multiple executives. Demonstrated verbal and written communication; will be an articulate and professional written and verbal communicator, including developing internal and external relationships.
Technically savvy with expertise in Google Suite applications and advanced learning comfort with using online applications and tools. Ability to work efficiently, independently and reliably under deadlines in a fast-paced environment
Great attention to detail.
Interest in working in a multicultural environment. Be comfortable with confidential or sensitive information.
Understanding how to prioritize and react effectively.
